PUBLIC WORKFLOW CHECKLIST

Which work is worth
automating?

Choose one specific task and answer six questions. You will get a suggested next step: explore a pilot, prepare the inputs or define clearer controls first.

WHY START NOW?

A head start begins with one working workflow.

A paper map helps you find a destination. GPS can also respond to changing conditions. Business operations can move from a static spreadsheet to a system that flags changes and starts the next step. Begin with one recurring obstacle: every waiting enquiry and manual hand-off still takes time.

Eurostat reports that 20% of EU enterprises with at least ten employees used AI in 2025, up from 13.5% in 2024. Adoption is already under way. Eurostat, 2025 ↗

Choose your first step
Does the task repeat often enough?

Consider frequency and total effort. An infrequent, unusual task may be a less useful place to start.

Can the input and desired result be described?

Even an AI-assisted step needs a definition of an acceptable result or action, and a point at which to stop.

Is the required information available?

Files, emails and records need to be usable in a suitable format and under agreed permissions.

Is someone responsible for the outcome and exceptions?

A person needs to judge whether the output is suitable and handle cases the system cannot resolve.

Are the common exceptions known?

Examples include duplicates, missing fields, cancellations and conflicting information. These need to be tested in the pilot.

Does the work involve payments, publication or other actions that are hard to reverse?

Such a step needs specific attention to permissions, human approval and recovery.

HOW TO USE THE RESULT

A useful first pilot
has clear boundaries.

The checklist identifies points that need clarification. It does not invent a time-saving percentage or quote an implementation price. The actual scope and potential benefit depend on your process, data and requirements.

If the task looks suitable, describe its start and finish and gather ordinary and more difficult examples. If the answers are not yet known, clarifying them is a useful first task in itself.

Which task should you start with?

Map recurring tasks and compare their time cost, feasibility and risk.
